Hello everyone. I have some very important news regarding our proposed next LAN and other future events. I had my meeting with Bob Hay this afternoon. It went very well and I have some good and some bad news.
First the good news.
- We can have overnight LANs again.
- They are not going to give as a back door key (not yet anyway). However, if we are organised and leave people in the room and make sure everyone that leaves has a mobile number for someone inside, it will be fine. We just have to make sure we don't piss off the guards again.
- The Williams Room is being refurbished. The cubicles are being removed meaning we shall have much more room.
- They shall be supplying foldable tables for the room (about 40, one should be fine for one machine).
- Access to the room is going to be much stricter, dumping will hence be removed.
- A full digital projector is going to be installed.
Now the bad news
- Due to university policy (i.e. being slow) the refurbishment is still not underway. They expect it not to be finished until the end of October.
- The John MacIntyre Hall is now totally out of bounds, we can not use it for events nor can any of the other societies.
- We have no other option other than to approach the unions and see what they can do for us. The GU has a 24hr library, so we might be able to get access for an all night event. However, this needs to be investigated. The QMU might be able to help as well, but I'm not sure if we can get 24hr access there. Worst comes to the worst, we might be able to pressure central booking into giving us a room and getting the SRC to pay for the room. This however is not a good option and I would prefer to stay on Bob Hay's good side.
The long and the short of it is that the Freshers LAN might have to be delayed until November when the Williams Room will be ready. I really need the committee to help me out with sorting something out (Strings, Ru) as I shall be away again this week. The situation with the unions needs to be clarified ASAP so I can get on Bob Hay's back if things are not going to work out with them. We might still be able to have a LAN on the proposed date but it just might not be in the Williams Room.
Sorry about this guys, I'm doing everything I can to try and sort this out. Please bare with me.

Dunno about 24 hour access in the QM but we can certainly get the comittee rooms there I would suspect. As for alternatives what about the exam hall in the John Mac building, like we used ages ago?

There's some really good news in there. Some slight delays with getting the Williams room, but I think the pros outweigh the cons.
The unions have always been good to us (especially the QM). As I've said before, we were affiliated before and have held a few early lans there.
They weren't too keen on overnights, but at this stage, I would rather have a lan at one of the unions over two days than none at all!
Overnights! w00t! that's superb!

At the moment, Im in the dark as much as you. Although I do believe the LAN is to be held at the QM. As soon as I know this for sure, Im going to be announcing the structure for the LAN, tourneys, prizes, etc. 8)

Right peeps, here be current state of affairs.
We can have the QM Committee room for the 7th and 8th, overnight. They have tables, chairs, plenty of power points and munchies downstairs to boot.
This is good.
However, there is the slight problem of the room not being THAT big. After seeing it to day, I reckon we would be able to get about 32, and that would be pushing it. I shall have to have a meeting with the committee and let them see it too before we decide on numbers. It is a good room, but it's not ideal in the slightest. A good thing to note however is that Qudos CAN be booked by societies of the QM, but we have to pay. It's discounted of course and can be cheaper again if we don't need extra staff (which we wouldn't). I shall investigate this further and get prices and times. Would be a good venue........
The other thing I need to point out is that the Williams Room will not be ready until what looks like end of November now, which sucks major ass. The SRC e-mailed be today informing me that the dates I had booked have "fallen though" and that they were "truly sorry". The other thing to try is to go to the GU and see if they can offer anything.

Sounds to me like we can have a decent 25 man LAN without issue then? 32 is pushing it, we haven't had a chance to test the server so why not just hold a smaller event and keep the 'grand opening' till later. You could even make it a specific lan only DoW, CSS and BF2 NOTHING ELSE. With no starcrafters and suchlike we remove a great deal of people that would not be taxing the network anyway. We can still let freshers in as they seem to be up for BF2 and CSS. With 25-30 folk we can easily test the server and have a good time. Don't make it the official LAN call it a betaLAN or a pre alpha LAN.

Maybe check out the food factory aswell? Dont know how good it is for powerpoints, but it ought to be able to fit more peeps than the committee rooms..

The committee rooms are a good start, I'd be up for that. Yes, there will be limited numbers (powerpoints might be an issue?), but I'm really itching for a lan, so anything would do. Might have to pre-book the members so you know exactly how many to expect on the day.
Any news on what the GUU might offer?

If the worst comes to the worst, a small LAN in the committee rooms could still be quite good.

Firstly you may have a problem with booking committee rooms because of GUGS using Commitee Room 1 on the saturday and the Cecilians on the Sunday (maybe have a talk with Snap or Johanna (or Brian but I didn't say that ok) . The Cecilians I dunno about.
Secondly do it on the 14-15th, that way you can gimme a b'day present of a decent gfx (my birthday is the 15th). Much appreciated. :-D

There has still been no reply on whether you've actually checked if the two commitee rooms are free. I know for certain the GUGS already have commitee room 1 for the entirety of the academic year. Someone has to sort that before even thinking about the logistics.
